Our process is supported by a Steering Committee, which meets online on a monthly basis. The Terms of Reference are below:

 

Purpose

The purpose of the Steering Group is to guide the 6-months co-production and consultation process towards creating understanding and resources to define the ‘responsible use of generative AI in adult social care’ as defined through the shared Oxford statement on generative AI in adult social care – https://www.oxford-aiethics.ox.ac.uk/oxford-statement-responsible-use-generative-ai-adult-social-care The Steering Group will work in parallel with the ‘Co-production group’ consisting of a diverse membership of people drawing on and proving care services.

 

Role and Remit

Works towards defining and achieving key goals and milestones in the process towards creating a shared understanding and resources on the responsible use of generative AI in adult social care.

The group will address the overall strategy, events/activities and products including:

  • Defining goals and milestones guiding the entire process;
  • Support the process through networks if relevant and possible;
  • Feedback on key activities/events;
  • Support the drafting of documents, such as guidelines, e.g. through co-production/consultation as is possible for the individual steering group member;
  • Support public awareness raising/transparency on the process and dissemination of products if possible.

 

Anticipated agenda items

  • Agree minutes and actions from previous meetings.
  • Discuss/update on goals and milestones e.g. events/products
  • Strategy on awareness raising and dissemination of products

 

Practical arrangements

  • Monthly meetings by Teams or Zoom, 1 hour maximum.
  • Coordinated by Steering Group Co-Chairs

 

Membership Principles

Members will be individuals from organisations who endorsed the Oxford statement on the responsible use of generative AI as well as representatives of the co-production group. Membership of the group is voluntary and everyone is free to choose what they would like to contribute to the group. Representatives from the Care Quality Commission, the NHS and relevant departments will be invited to each meeting to provide updates on their activities around responsible use of AI in adult social care and/or keep up to date with progress on the group’s milestones.

Coordination, facilitation and management of papers and minutes will be led by the Co-Chairs of the Steering Group. Depending on topics of discussion for each meeting, guest speakers will be invited to the call to share their experiences relating to specific interests of the group. Papers will be circulated with the group two weeks in advance of each meeting to allow sufficient time for members to feedback and input.

Members can feedback outside of meetings as necessary. If a topic arises that requires a sub group to discuss and deliver on specific issues then that can be coordinated by the Co-Chairs.

 

Conflict of interest

Members should disclose any conflicts of interest that may influence any discussions, decisions and actions made by the group. The purpose of this is to protect the group’s integrity of its decision-making processes so that our stakeholders can have confidence in the membership.
